Design-Bid-Build Process

As a technology integrator consultant on a Design-Bid-Build project, we are typically involved in the 3 phases of the project once a specification and system design has been created and it is sent out for bid. There are some cases where we may provide an owner the option for an integrator led design-bid-build process in which we would be involved from concept through completion. In all Design-Bid-Build projects the process is the same, it is simply a matter of who is responsible, between the AV consultant and integrator, for each phase.   

In the majority of projects the integrator is responsible for all hardware procurement and labor and the consultant has design responsibility.

1. Discovery Process:

The project always begins with a discovery process, where customers needs and desires are uncovered. During this time the client is educated on the realities of technological trends possible budget constraints and built-in obsolescence.

2. System Design:

Now that pertinent information has been gathered, a detailed report is developed in accordance to the plans. The system design team defines all aspects of the project functionality for each room or area. An extensive set of project drawings are created that show graphically where all hardware and pre-wire drops will be located. All hardware is defined with exacting detail. This information is reviewed with the client and revised until approval is received.

3. Engineering:

After a client has signed off on the system design and project price, the engineering team will plan and produce documents and drawings for the installation of the technical solutions to not only meet client needs, but ensure reliability and ease of use. A complete engineering documentation package will be presented to the client.

4. AV Bid:

A request for proposal (RFP) is distributed to a select group of integrators. Once the bidders have received all bid documents, in most cases there will be a site review meeting, led by the project architect. Each integrator submits a sealed bid stating their qualifications, pricing and recommended alternatives to the proposed design. A final selection is made by the architect or owner determined by many factors including: price, experience, references, staffing, facilities and agreement by the integrator to meet project timeline.

5. Implementation Process:

Once rough and trim phase engineering documentation is complete, we are ready to supervise the installation of the infrastructure such as conduit, low voltage wiring and enclosure. We will manage the integrator and other contractors activities, such as the timeline, due dates, and products, and ensure the quality of any building materials. Our job is only complete when the client is 100% satisfied with the finished product. The length of time for this phase is dependent upon the time frame of construction. Once system installation is complete, all engineering documentation is updated to an as-built state.

6. Service & Support:

A complete set of as-built documentation is delivered to every client at the final project sign-off. We strive to make every client, a client for life. By delivering as-built documentation and programming source code to our clients, we ensure that the investment they have made into their facility is well protected and may be serviced for life with accuracy and diligence. We honor all manufacturer warranties plus a 12 month workmanship warranty.
